Privacy Policy

This Privacy Policy explains how Accountlet LLC (“Accountlet,” “we,” “us,” or “our”) collects, uses, shares, and protects information in connection with www.accountlet.com (the “Site”) and our bookkeeping, accounting, payroll, and tax-preparation services (the “Services”). Because we prepare tax returns and handle financial data, we are a “financial institution” under the Gramm-Leach-Bliley Act (GLBA), and this Policy also serves as our GLBA privacy notice to clients.

1. Information We Collect

Information you provide. Your name, business name, email, phone, and the contents of any form or message you submit; and, when you become a client, the financial and tax information needed to perform the Services, which may include Social Security Numbers, EINs, income and wage statements, bank and account details, and bookkeeping records (“nonpublic personal information” or “NPI”).

Information collected automatically. When you visit the Site, we and our analytics providers may collect device and usage data such as IP address, browser type, pages viewed, and referring pages, through cookies and similar technologies.

Information from third parties. We may receive information from service providers and platforms we use to deliver the Services (for example, QuickBooks, payroll providers, and payment processors), and from sources you authorize.

2. How We Use Information

We use information to: respond to inquiries and provide the Services; communicate about your account, billing, and deliverables; operate, maintain, and improve the Site and Services; comply with legal, tax, and regulatory obligations; protect against fraud and secure our systems; and as otherwise permitted by law or with your consent. We do not use your tax return information for any purpose other than preparing your return except as permitted by law or with your separate written consent under IRC § 7216.

3. How We Share Information

We do not sell your personal information. We share information only as needed and as permitted by law:

  • With service providers, contractors, and subcontractors who help us deliver the Services, who access your information only as needed and under our supervision, and who are bound by confidentiality and data-security obligations to protect it (for example, software, payroll, and payment providers, and the bookkeeping and support personnel we engage to perform the Services)
  • As required by law, subpoena, court order, or government or tax authority
  • To protect our rights, clients, or systems, or to investigate fraud or security incidents
  • In connection with a business transaction such as a merger or sale, subject to confidentiality
  • With your consent, including any consent required under IRC § 7216 for tax return information

Personnel who perform bookkeeping and support Services on our behalf may be engaged in various locations and access your information only through our approved, secured systems and under our supervision and control coordinated from the United States. We do not transmit your tax return information to any preparer located outside the United States without the separate written consent required by IRC § 7216.

4. GLBA Notice — How We Protect Client Information

As a financial institution under the GLBA, we collect NPI to provide the Services, and we limit its use and disclosure to what is necessary to deliver the Services and to comply with law. We do not disclose NPI about clients or former clients except as described in this Policy or as permitted or required by law. We maintain administrative, technical, and physical safeguards to protect NPI, consistent with the FTC Safeguards Rule and our Written Information Security Plan. We restrict access to those who need it to perform the Services.

5. Cookies & Tracking; Opt-Out Signals

The Site uses cookies and similar technologies for functionality and analytics. You can control cookies through your browser settings. Where required by applicable law, we honor recognized universal opt-out signals, such as the Global Privacy Control (GPC), as a request to opt out of applicable sharing for that browser.

6. Data Security

We use commercially reasonable administrative, technical, and physical safeguards — including encryption, access controls, and multi-factor authentication — to protect information, consistent with our Written Information Security Plan and the FTC Safeguards Rule. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please do not send Social Security Numbers, EINs, or tax documents by unsecured email; use our secure portal.

7. Data Retention

We retain information for as long as needed to provide the Services, comply with legal, tax, and recordkeeping obligations, resolve disputes, and enforce our agreements, and then securely delete or destroy it. Retention periods for tax and financial records follow applicable law and professional recordkeeping requirements.

8. Your Privacy Rights

Depending on your state of residence, you may have rights regarding your personal information, which may include the right to: confirm whether we process your information and access it; request correction or deletion; obtain a portable copy; and opt out of the sale or sharing of personal information or targeted advertising. We do not sell personal information. To exercise any right, contact us using the details in Section 12; we will verify your request and respond as required by applicable law, and we will not discriminate against you for exercising your rights.

Note for financial data. Some state privacy laws exempt financial institutions or information already regulated under the GLBA. Where your information is governed by the GLBA, those provisions and this GLBA notice apply. We will honor the rights that apply to you under the law of your state.

9. Children’s Privacy

The Site and Services are intended for businesses and adults and are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will delete it.

10. Third-Party Sites

The Site may link to third-party websites and services that have their own privacy practices. We are not responsible for those practices, and we encourage you to review their policies.

11. Changes to This Policy

We may update this Policy from time to time. Changes are effective when posted with an updated “Last Updated” date. Material changes affecting client NPI will be communicated as required by law.
